The Clinical Administrative Coordinator (AC) is responsible for patient admission and discharge processes, preparing network reports, reviewing and submitting monthly billing, facilitating payroll, orienting new employees, maintaining employee records, and maintaining office supplies and office machines in the center. The Clinical Administrative Coordinator is responsible for maintaining patient medical records as mandated in the medical records, privacy, and emergency policies.
Essential Functions The essential functions listed are not a comprehensive inventory of all duties, tasks, and responsibilities. Employees may also perform other duties as assigned. All employees must work in accordance with Satellite's I-CARE Standards.
All ACs perform the following functions:
Prepares and reconciles network, Kaiser and other reports; assists Clinical Manager with adjusting reports as needed
Processes payroll for the center and serves as payroll point of contact
Assists the Clinical Manager with all aspects of onboarding and orienting new hires and transfers into the center
Processes paperwork for new center employees
Maintains paper and electronic employee records that are retained in the center; responsible for notifying employees of license/certification expiration dates
Responsible for all patient medical records for the center; conducts employee training on legal requirements of medical records
Responsible for tracking and notification of HIPAA compliance training and Satellite policies and procedures on privacy
Responsible for driving the Satellite Healthcare culture through values and customer service standards
Accountable for outstanding customer service to all external and internal customers
Develops and maintains effective relationships through effective and timely communication
Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner
ACs in centers without a Clinical Administrative Assistant (AA) also perform the following functions:
Performs admissions for all patients; audits all admissions following admit
Performs discharges for all patients; audits discharge records and is responsible for document management of records
Performs maintenance of patient and employee medical records (manual and SPIN) to ensure information is current and complete
Handles monthly patient billing and prepares billing reports as requested
Responsible for maintaining front desk including but not limited to:
o Answering phones o Filing o Greeting and hosting incoming visitors to the center o Monitoring, ordering and stocking front office supplies including lobby postings o Maintaining the front lobby to ensure it is clean and presentable o Obtaining help for patients in the waiting room when necessary o Maintaining lists of contact information
ACs in centers with an AA also perform the following functions:
Directs Clinical Administrative Assistant within the center, delegates appropriate duties, provides ongoing training and provides CM with performance feedback
Oversees admissions for all patients; audits all admissions following admit
Oversees discharges for all patients; audits discharge records and is responsible for document management of records
Oversees maintenance of patient and employee medical records (manual and SPIN) to ensure information is current and complete
Oversees monthly patient billing and prepares billing reports as requested
Oversees front desk administration
Minimum Qualifications Any combination of education and experience that would likely provide the required knowledge, skills, and abilities as well as possession of any required licenses or certifications is qualifying.
Education: High School Diploma, GED or equivalent; AA or AS degree preferred
Experience: One (1) year administrative experience required; two (2) years preferred; Customer service experience preferred
